SOC II Type 2 audited (SAS 70)
An independent professional audit of security, availability, process integrity, privacy and confidentiality. The SOC II audit validates that our facilities’ controls and processes are designed to safeguard our customers’ equipment and data.
The Federal Financial Institutions Examination Council (FFIEC) performs periodic exams at both our Grand Rapids and Lansing facilities. The FFIEC is a formal interagency body empowered to prescribe uniform principles, standards and report forms for the federal examination of financial institutions by several regulatory agencies, including the FDIC and the NCUA. FFIEC exams focus on physical and electronic data security, as well as overall company stability with respect to financial health and management processes and structure.
HIPAA and HITECH compliant
Our staff is trained to safeguard sensitive medical data
as defined by HIPAA / HITECH laws.
Disaster recovery / Data security
In addition to generator backup in case of an outage, our facilities serve as mutual backup facilities located 70 miles apart.
We use state-of-the-art encryption technology; SSL certificates and three-tiered firewall protection. Information is safeguarded by following the Gramm-Leach-Bliley and the Fair Credit Reporting Acts.
Our Document Reliability System (DRS) provides 100% automated output verification which uses a camera system to read and report each document as it is processed for correct sequence assurance. It quickly identifies doubles, missing documents or insertion errors mid-stream without compromising the production process or audit trail. Mail does not leave our facility until all pieces are accounted for.
Our 2D Bar Code system is a sophisticated method of data capture printed on every document. A scan of the small code pairs all documents and provides data for audit and tracking reports.
(Mail Preparation Total Quality Management)
The US Postal Service patterned their quality control requirements after ISO 9000. These strict guidelines are the highest level of quality control for mail houses involving several layers of verification. Not all mail houses have this certification.
Both of our facilities have multi-level security points, 24-hour closed circuit surveillance with card scanner access into sensitive areas. These areas are only accessible by authorized and security-cleared individuals.
Employee screening procedure
All job candidates (new hires) are prescreened using the following criteria (1) SSN verification and an address history look-up, (2) seven-year national criminal database search, (3) seven-year county courthouse search for felonies and misdemeanors (last three counties of residence), and (4) national sex offender registry check.
